What we collect and why
| Information | Why we use it | Lawful basis |
|---|---|---|
| Name and phone number | To take and manage your job, send you the price and updates, and invoice you | Contract |
| Your location (typed, shared from your phone, a map pin or what3words) | To find you and reach your vehicle | Contract, or our legitimate interest in getting help to you |
| Vehicle registration, make and model | To identify the vehicle, bring the right equipment and quote for the right battery | Contract |
| Photos of the vehicle | To record its condition at collection and delivery | Legitimate interests (protecting you and us if there’s a dispute) |
| WhatsApp and text messages | Booking, sharing your location and keeping you updated | Contract |
| Payment and invoice records | Accounting and tax | Legal obligation |
| Anything you tell us about health or vulnerability (for example, a child in the car) | Only to help keep you safe during the job | Your explicit consent, or to protect someone’s vital interests |
If someone else contacts us on your behalf (for example, a relative or your garage), we’ll use the details they give us for the same purposes.
“Send my location”, the coverage checker and the price estimator
When you tap Send my location, your browser asks your permission, then puts your coordinates into a WhatsApp or text message for you to send. Your location isn’t stored on this website. To show you the nearest postcode, and to work out distances in the coverage checker and the price estimator, your browser sends the coordinates or postcodes you enter to postcodes.io, a free UK postcode lookup service. Nothing else about you is sent with them.
Who we share it with
We use trusted providers to run our business. They process information on our instructions:
- Vercel: hosts this website and provides anonymous visit statistics.
- WhatsApp (Meta): if you message us on WhatsApp. Meta also processes some data for its own purposes under its own privacy policy. You can always phone or text us instead.
- Our phone and messaging providers: to handle calls and texts.
- Our accountant: for bookkeeping and tax.
We may also share information with the police or other authorities where the law requires it, or with your insurer or garage if you ask us to. We never sell your information.
International transfers
Some providers (including Vercel and Meta) may process data in the United States. Where they do, the transfer is protected by UK-approved safeguards, such as the UK Extension to the EU–US Data Privacy Framework or standard contractual clauses.
How long we keep it
| Record | How long |
|---|---|
| Invoices and payment records | 6 years after the end of the financial year (HMRC requirement) |
| Job records (contact details, vehicle, collection and drop-off, photos) | Up to 6 years after the job, in case of a claim, or less where we can |
| Precise location pins | Deleted within about 30 days of the job; we keep only the collection address |
| WhatsApp chats | Key details copied to the job record, with chats cleared regularly (about every 3 months) |
| Enquiries that didn’t become a job | Up to 12 months |
Cookies and statistics
This website doesn’t use advertising or tracking cookies. We use Vercel Web Analytics to count visits and see which pages and buttons are used, so we can improve the site. It sets no cookies, stores nothing on your device and doesn’t identify you. You can turn it off for this browser here:
If we ever add advertising or other tracking tools, we’ll ask for your consent first and update this notice.
Your rights
You have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct it, or delete it where we no longer need it;
- object to, or ask us to restrict, how we use it;
- ask for it in a portable format;
- withdraw consent at any time, where we rely on consent.
Giving us your contact and location details is necessary for us to help you. Without them, we can’t take the job. We don’t make decisions about you by automated means.
Complaints
If you’re unhappy with how we’ve handled your information, please tell us first on 07784 540841, by WhatsApp or at info@roadvaulttransport.co.uk. We’ll acknowledge your complaint within 30 days, look into it, keep you updated and tell you the outcome.
You can also complain to the UK data protection regulator: the Information Commissioner’s Office, which becomes the Information Commission on 30 September 2026. Visit ico.org.uk/make-a-complaint or call 0303 123 1113.
